Misoca – A Recommended Cloud Invoicing Tool for Small businesses and Startups

For our invoicing operations, we use Misoca, a cloud-based invoicing tool. While there are similar tools available from Freee and Money Forward, we started using Misoca somewhat casually without much comparison—and we’ve stuck with it ever since. Of course, thoroughly comparing tools before choosing one is a valid approach. But we believe in trying things out first and switching later if needed. So far, Misoca has served us well.

What is Misoca?

Misoca is a cloud invoicing platform developed by Yayoi Co., Ltd. It allows users to easily create and send invoices, quotes, and delivery notes via the web. Key features include automated email delivery, mail outsourcing, and payment matching—making it a powerful tool for streamlining billing operations.

How We Use Misoca

Key Benefits We’ve Experienced

(1) Reduced Manual Work

Previously, we used Excel to manually edit each invoice (e.g., “For the fiscal year ending XXXX”), print it, stuff it into an envelope, and mail it. Honestly, it was a tedious task.

With Misoca, once you set up the recurring schedule, invoices are automatically sent out via email. The auto-sending function allows us to configure it to include the current or previous month/year in the invoice, making it ideal for recurring monthly retainers or annual year-end services. Unless the invoice amount changes, the process is completely hands-off. This has significantly reduced our workload.

Sure, we had some hiccups early on—like accidentally sending invoices twice or configuring a yearly invoice to go out monthly—but those were learning moments. We’ve now ironed out the process.

(2) Greater Flexibility in Time and Location

Previously, we had to be in the office at the beginning of the month—with access to a printer, envelopes, and stamps—to send invoices. Now, since everything’s cloud-based, we can send invoices anytime (flexible schedule) and from anywhere (remote work ready). It’s a big win for work flexibility.

(3) Cost Savings & Paperless Transition

Some clients initially requested paper invoices, but after consistently sending PDFs, they eventually accepted the digital format. Thanks to their understanding, our billing process has become fully paperless—saving us both postage and stationery costs.
